Privacy Notice

Last updated: 30 September 2026

This notice explains how we use personal information for website bookings and related enquiries at The Castle Inn.

Who is responsible

The Castle Inn is responsible for deciding how your information is used.

Address: Main Street, Newcastle Middle, Newcastle, Co. Wicklow, A63 Y673
Email: castleinnnewcastle@gmail.com
Telephone: (01) 281 9232
Website: castleinnwicklow.com

What we collect

When you request a table, we collect your name, phone number, email address, requested date and time, number of guests, and any optional notes you choose to provide. For King's Quarters requests we also collect the occasion and message you choose to add. We also hold correspondence about your request and its status.

Fields marked required are needed to process an online request. If you prefer to arrange a booking directly, please call us.

With each online request we also record the time it was submitted, the version of the Booking Terms you agreed to and when you agreed, and whether our notification email was sent. We use these to manage your request and keep an accurate record of it.

Each online request is saved in the website's booking database and sent as an email notification. Our team may also record bookings made by phone, email or online in a paper diary at the restaurant.

Like most websites, our hosting and security services may process technical information such as your IP address when you visit. [CONFIRM: visitor log and IP address retention]

Why we use your information

We use your booking details to check availability, respond to you, arrange your reservation and deal with changes. Our legal basis is taking steps at your request before a contract and performing the booking arrangements we agree with you.

For general enquiries, service complaints, proportionate security measures and preventing misuse, we rely on our legitimate interests in responding to customers and running a reliable service, taking account of your rights.

Where a specific legal duty requires us to keep or disclose records, we rely on that obligation. [CONFIRM: records kept for tax or accounting]

Booking messages and marketing

We may contact you by the booking contact methods you provide about your request or visit. These are service messages.

Making a booking does not automatically subscribe you to promotional messages. If we offer a marketing subscription, it will be a separate choice. Where we rely on your consent, you can withdraw it at any time through the unsubscribe option or by contacting us.

Who can receive your information

Booking requests are read by The Castle Inn team and by Social Bloom, who manage our website and its hosting arrangements for us. Access is limited to people who need the information for their work.

The following service providers are involved in running the booking form:

  • Lovable: builds and hosts the website, and provides the booking database.
  • Lovable's email service: sends each new request as an email notification to Social Bloom (info@socialbloom.ie), who pass it on to our team.
  • Cloudflare: delivers the website and provides security protection as part of the hosting.
  • Google: provides the website fonts, and Google Maps if you choose to load it.

Booking records are not publicly accessible. The Castle Inn team decides whether to accept each booking and contacts you to confirm it. [CONFIRM: data processing agreements]

We may also disclose information where a legal requirement applies.

International transfers

The booking database is located in Frankfurt, Germany. The website itself is delivered through a global network, so parts of a visit or request may be handled outside the European Economic Area, and service providers may access data from outside it. [CONFIRM: countries involved and transfer safeguards]

How long we keep information

We keep personal information only for as long as it is needed for the purpose explained in this notice.

  • Routine booking records: [CONFIRM: period]
  • Requests that do not become bookings: [CONFIRM: period]
  • Optional notes and any sensitive requirements: [CONFIRM: period]
  • Paper booking diaries: one year
  • Booking emails and correspondence: [CONFIRM: period]
  • Security logs and backups: [CONFIRM: period]
  • Payment or deposit records: [CONFIRM: period]

A relevant record may need to be kept longer to meet a documented legal requirement or deal with a particular complaint or legal claim. We will restrict its use to that purpose and remove it when retention is no longer justified.

Dietary, allergy and accessibility information

Please avoid detailed medical information in the general booking notes. Contact the restaurant to discuss any requirements.

Allergen information is shown on our menus, and our staff handle individual requirements directly with you. [CONFIRM: how guest-specific requirements are recorded and kept]

Your choices and rights

Depending on the circumstances, you can ask to see or correct your information, request deletion or restricted use, object to processing based on legitimate interests, and receive certain information in a portable format. These rights have legal conditions and exceptions.

Where we rely on consent, you can withdraw it without affecting the lawfulness of earlier processing.

To exercise your rights or raise a concern, email castleinnnewcastle@gmail.com. You can also complain to Ireland's Data Protection Commission at www.dataprotection.ie.

Booking decisions

Our team checks booking requests and confirms availability. The online acknowledgement is not an automated decision to reserve a table.

Cookies and external content

Our Cookie Policy explains the website's cookies, browser storage and optional external content. You can manage optional choices through Cookie Settings.
